C06011 COMMIT Stage Validation Rules

COMMIT-stage validation checks are only run once a COMMIT request has been received from the institution by the data collection system. These checks can only operate within a database-type environment and, therefore, cannot be included in the submission-level validation kits.

Validation error 60112032 and warning 60112033 are new this year.

Validation Errors – Number, Text and Specification

60112001 - If multiple occurrences of INSTID, HUSID and NUMHUS appear, then fail Cannot have multiple occurrences of HUSID and NUMHUS

60112002 - If a MODID is in the Student Record (YY012) then that module must exist on the Module Record (YY013) This module must exist on the Module Record

60112003 - A duplicate MODID within the YY013 data must not exist Multiple occurrences of MODID

60112004 - An incorrect INSTID in YY011 and YY012 data must not exist Incorrect INSTID in data

60112005 - An incorrect INSTID in YY013 data must not exist Incorrect INSTID in module data

60112006 - If 2 records have the same HUSID, then Date of Birth must be consistent If two records have the same HUSID, then Date of Birth must be the same

60112007 - If 2 records have the same HUSID, then Gender must be consistent If two records have the same HUSID, then Gender must be the same

60112008 - If RECID = YY012 and FRNCHACT =1 and PCOLAB > 000.0 in any module, then fail If RECID = 06012 and FRNCHACT =1, then PCOLAB must not be greater than zero in any module

60112009 - If RECID = YY012 and FRNCHACT =2 and PCOLAB = 000.0 in all modules, then fail If RECID = 06012 and FRNCHACT = 2, then PCOLAB must not be zero in all modules

60112010 - If multiple occurrences of INSTID, HUSID and QUALAIM appear where QUALAIM in (02 - 52) and MODE in (01, 23, 24, 52, 53) and DATELEFT is blank, then fail HE Students with multiple active full-time/sandwich records

60112019 - If an incoming record and the one on the HIN register have the same HIN, then Date of Birth must be consistent Where a HIN link exists, Date of Birth in both records must be the same

60112020 - If English or Northern Irish institution and FTE_Type = 3 and TYPEYR=5 and FUNDCOMP=1 then STULOAD must be 000.0 If FTE type=3 and TYPEYR=5 and FUNDCOMP=1 then STULOAD must be 000.0

60112024 - If English or Northern Irish institution and FTE_Type = 1, then TYPEYR must be coded 1 (nb rule will only apply where the TYPEYR field is required) If FTE type=1, then TYPEYR must be coded 1

60112025 - If RECID = YY012 and FRNCHACT =3 and PCOLAB = 000.0 in any module, then fail If RECID = 06012 and FRNCHACT = 3, then PCOLAB must not be zero in any module

60112031 - This field must contain a valid CAMPID as held in the CAMPUS information returned to HESA Incorrect CAMPID in data.

NEW RULE: 60112032 - If sum of module FTEs (FTE in yy013) for a student is 0, then STULOAD (yy012) must not be > 000.0 Sum of module FTEs is zero but STULOAD is not zero

Validation Warnings – Number, Text and Specification

60112011 - If multiple occurrences of INSTID, HUSID and QUALAIM appearwhere QUALAIM in (61, 62, 97, 98) and MODE in (01, 23, 24, 52, 53) and DATELEFT is blank, then warn HE credit/no qualaim students with multiple active full-time/sandwich records

60111212 - If multiple occurrences of INSTID, HUSID and QUALAIM appear where QUALAIM in (02 - 52, 61, 62, 97, 98) and MODE not in (01, 23, 24, 52, 53) and DATELEFT is blank, then warn HE students with multiple active part-time/other records

60112013 - If multiple occurrences of INSTID, HUSID and QUALAIM appear where QUALAIM in (53, 54, 55, 71 to 86, 99) and DATELEFT is blank, then warn FE students with multiple active records

60112014 - If multiple BIRTHDTE, GENDER, soundex (SURNAME) and soundex (FNAMES) occur, with different HUSIDs, and RECID is not YY21x, YY31x, YY71x, then warn If two records have the same name, date of birth and gender, then HUSID should be the same

60112015 - If sum of Module FTEs for a student is greater than STULOAD+100.0, then warn Sum of Module FTEs is greater than STULOAD+100.0

60112017 - If English institution and FESTUMK = 1, 3 or 4 and FEQAIM not found in LSC Qualifications database or not ‘66666666’, then warn FE qualification aim code not found in LSC Qualification database

60112018 - If MODRES is blank for all cases where RECID = YY012/YY112 for the complete return, then warn Complete student return has no module results

60112021 - If English or Northern Irish institution and FTE_Type = 3 and TYPEYR=2 and FUNDCOMP=1 and DATELEFT is in academic year (ie between 01/08/Y1 and 31/07/Y2) then STULOAD must be 000.0 If FTE type=3 and TYPEYR=2 and FUNDCOMP=1 and DATELEFT is in academic year (ie between 01/08/Y1 and 31/07/Y2) then STULOAD must be 000.0

60112022 - If English or Northern Irish institution and FTE_Type = 4 and TYPEYR=3 then STULOAD must be 000.0 If FTE type=4 and TYPEYR=3 then STULOAD must be 000.0

60112023 - If English or Northern Irish institution and FTE_Type = 4 and TYPEYR=2 and COMDATE in academic year (ie between 01/08/Y1 and 31/07/Y2) and DATELEFT is blank then STULOAD must be 000.0 If FTE type=4 and TYPEYR=2 and COMDATE in academic year (ie between 01/08/Y1 and 31/07/Y2) and DATELEFT is blank then STULOAD must be 000.0

60112026 - If POSTCODE contains a full postcode (ie outward plus inward) then this must be valid Full postcode must be valid

60112027 - If POSTCODE contains an outward part only then this needs to be flagged as a possible funding issue Only supplied outward part of postcode. This is a possible funding issue.

60112028 - If more than 10 young (F_XAGEA01 between 18 and 21), full-time (F_XMODE=1, 2), undergraduate (F_XLEV301=2) students within one institution are returned with an identical postcode (F_POSTCODE) then flag up as an issue More than 10 records have been returned with an identical postcode

60112030 - If F_DATELEFT is completed with a date between '01-AUG-2006' AND '31-JUL-2007' and F_RSNLEAVE in ('01','98') and F_QUALAIM between '02' and '52' and F_QUAL1 is blank then flag up as an issue. HE level record has completed the course with a date of leaving within the current reporting period but has no qualification obtained data.

NEW RULE: 60112033 - If multiple occurrences of HUSID and INSTID where QUAL1 not blank, then warn if identical values in either QUAL1 or QUAL2 HE leavers with multiple identical qualifications
