HESA Data Platform and Student 22056: your quick-start guide

The 22056 Student record will be the first data collection live on the HESA Data Platform (HDP). 

The HDP forms part of our transformation programme for the new, unified Student record. 

We know change can be challenging with new systems and processes, so below is our quick-start guide on what you need to know.

The HDP includes:

  • Improved interface and processes tested by providers during the Alpha and Beta phases.
  • Automated quality assurance.
  • An online validation tool (OVT).

All current Student and Student Alternative record contacts will access this system through a new HESA Identity System (IDS) role. We will issue this role ahead of the system opening. Record contacts can issue roles to any colleagues at their provider who will also be involved in the submission process ready for the HDP go-live.

Are you ready?

We have compiled a summary of activities to support provider readiness ahead of the 2022/23 collection.  

As with the legacy collections, the 22056 coding manual is your point of reference for all requirements for the upcoming 22056 Student record collection. The coding manual includes all the key information, including: 

  • Coverage of the record.
  • Revision history of changes made, such as guidance and entity updates,
  • Data model and data dictionary. 
  • Data collection schedule, including guidance and key dates for the May and August 2023 interim submissions.

Alongside the coding manual we also continue to provide support guides. These give an overview of the submission process, and guidance for the data entry tool and online validation kit. We will also publish any known issues with the HDP, any bugs within the HDP, and list planned functionality and releases.

What’s happening next?

We recently hosted 22056 interim submission webinars to support providers

The first deadline is rapidly approaching. The 31 May 2023 first interim submission deadline requires all providers to submit approximately 50% of student information that must pass schema validation. This submission needs to reflect a real-life submission, so be sustainable, using your software solution or data entry tool.

We encourage you to include as many of the different types of student provision falling within your 22/23 coverage as possible. This is a real test for your own systems and processes and will ensure that you are in the best place ahead of the statutory deadline in October 2023.
