Summary of changes from 2008/09 to 2009/10

This document summarises the main changes in the 2009/10 Student Record from the 2008/09 Student Record. Note that changes since first release of documentation are detailed in the Revision history - this document summarises the changes between reporting years. This brings together information in one place which was previously separate (as a summary of changes and release notes), but there is no new content.

Note that a new field Instance.OWNINST was added for the first time in 2009/10.

1. Note that QualificationsAwarded.QUAL codes D01, M02 and M26, which are new codes from 2009/10, and existing codes M41, H41 and H42 will be included in the DLHE population from 2009/10.

2. Coverage of the record now excludes doctorate degrees awarded by publication.

3. Institutions are now required (rather than advised) to specify the encoding used in their XML files (i.e. &lt?xml version="1.0" encoding="UTF-8" ?&gt).

4. In additions to the updates to coding frames below, please note there are new codes for

  • Course.COURSEAIM New Route PhDs (D01), Masters in Teaching and Learning (M02) and Integrated undergraduate/postgraduate taught Masters degree on the enhanced/ extended pattern leading towards obtaining eligibility to register to practice with a Health or Social Care or Veterinary statutory regulatory body (M26)
  • StudentOnModule.MODOUT for 9 Module previously returned in error, A Student did not complete module - gained credit, B Student did not complete module - deferral
  • Instance.SPECFEE for 6 Part-time Initial Teacher Training
  • Instance.LOCSDY for S Studying abroad and included in the Student record as student has spent or will spend more than 8 weeks in the UK
  • Instance.EXCHANGE New codes 8 Incoming LLP ERASMUS student, 9 Incoming LLP COMENIUS student, A Incoming ERASMUS MUNDUS student, B Outgoing TEMPUS student, C Outgoing LLP ERASMUS student, D Outgoing LLP COMENIUS student, E Outgoing ERASMUS MUNDUS student. Codes 1, 3, 5 and 6 are no longer valid

5. New codes have been added to Secondary ITT Specialisms for CourseSubject.SBJCA.

8. New field requirements

Course entity

Course.NHSBURSARY. This field indicates whether students on the course are eligible for NHS bursaries.

Coverage:
All courses at institutions in England. [Note - coverage subsequently extended to Wales]

Valid entries:
0 Course not eligible for NHS bursaries
1 Entire course eligible for NHS bursaries
2 Part of the course eligible for NHS bursaries

Course.SKEUNITS. This field records the number of Subject Knowledge Enhancement (SKE) units completed during the course.

Coverage:
Instances at institutions in England where Course.REDUCEDC = 07 (SKE) or Course.TTCID = F Subject Knowledge Enhancement (SKE).

Valid entries:
Integers from 1 to 18

Course.SKEOS. This field records whether an SKE course includes an overseas placement.

Coverage:
Instances at institutions in England where Course.REDUCEDC = 07 (SKE)

Valid entries:
0 Course does not include an overseas placement
1 Course includes an overseas placement

Instance entity

Instance.INITIATIVES. This field identifies students who are part of a specific scheme that is to be monitored independently. Valid entries will change from year to year to reflect current schemes.

Coverage:
Instances at institutions in England that are part of a named scheme.

Valid entries for 2009/10:
1 Life-long Learning Networks
2 Employer engagement co-funded students

Instance.SASDAYS This field records the number of Student Associate Scheme (SAS) days completed.

Coverage:
Instances at institutions in England where Instance.REDUCEDI = 06 (SAS) or TTCID = E (SAS).

Valid entries:
Integers 1 to 15

Instance.SASSCHL. This field records the reference number for the school at which the student undertakes their Student Associate Scheme (SAS) placement.

Coverage:
Instances at institutions in England where Instance.REDUCEDI = 06 (SAS) or Course.TTCID = E (SAS).

Valid entries:
The establishment Unique Reference Numbers (URNs) that can be found from: http://www.edubase.gov.uk

Instance.SKEITT. This field records the institution at which an Subject Knowledge Enhancement (SKE) student will be undertaking their ITT. (Students are only eligible for SKE courses if they are holding an offer of an ITT place.)

Coverage:
Instances at institutions in England where Instance.REDUCEDI = 07 (SKE) or Course.TTCID = F (SKE).

Valid entries:
The UKPRNs for ITT providers are available from http://www.ukrlp.co.uk/.

9. Updates for coding frames

Code 2 in this field will identify instances where the student has previously completed a SAS programme

10. Changes to guidance

JACS

Currently institutions are only required to use the full 4-digit JACS coding in a subset of specialist subject areas. From 2009/10 institutions will be required to make appropriate use of the full 4-digit JACS coding in all subject areas. This is needed to future-proof work on strategically important and vulnerable subjects, so that as the landscape changes, it will be possible to assess the past performance of newly important subjects. This requirement will apply to both Courses and Modules. There will be some courses and modules where it remains appropriate to code at principal subject level, but others where a more detailed code should be used. So for example, a general Biology course would continue to be coded as C100, but a specific course/module in Biodiversity would be coded C181. Similarly, a generic Religious Studies course would be V600, but as specific Islamic Studies course would be V622.

If it is known at the beginning of the course that a student will spend eight weeks or more in the UK as part of their programme then they should be included on the Student Record throughout. For reporting years in which they spend no time in the UK they should be coded as 'S -Studying abroad and included in the Student Record as student has spent or will spend more than 8 weeks in the UK' in Instance.LOCSDY.

If a period of time of eight weeks or more is an optional part of the programme then the student should be included in the Student Record only if they come to the UK, and for the reporting year in which they come to the UK onwards. The Instance.COMDATE should reflect the start date of the instance abroad.

If a student is expected to spend less then eight weeks in the UK during their entire programme they should be included on the Aggregate Offshore Record throughout.

Where students on distance learning programmes move between UK and overseas locations as a consequence of changes in personal circumstances they will need to remain on the Student Record.

For years where the student spends the whole year at the reporting institution, use code 'X - At returning and/or franchised institution for whole year' in Instance.LOCSDY. For years where the student spends part or all of the year abroad, use code 'S -Studying abroad and included in the Student Record as student has spent or will spend more than 8 weeks in the UK' in Instance.LOCSDY.

In addition, there may in any year be a small number of UK-domiciled (probably research) students who, due to the nature of their research, spend their entire studies overseas. These students will need to be included in the HESA Student Record. Such students should be coded 'F On study year abroad for the year as a whole' in Instance.LOCSDY, for each year of their instance, with the appropriate full-time or part-time codes used for Instance.MODE. Given the likely small numbers of such students it this combination of coding will be accepted by means of a validation switch.

11. New Reduced Returns

The Student.HUSID used for the SAS record should match that used by the institution at which the student is undertaking their main course of study to allow linking.
