This document defines the data definitions used in the C13051 check documentation. This documentation should be used in conjunction with the C13051 coding manual and C13051 check documentation guide.

Each item within the check documentation lists the derived fields used in its creation. The derived field specifications and populations (identifiable by the 'X' prefix e.g. XPSR01) used for each check documentation item are available at Derived field specifications.

Standard registration population (XPSR01, is used in items in all sheets except in Check_Document_1 for item 2 and Check_Document_2 for items 4a, 10, 14, the CCANALYSIS sheet, Unrestricted population sheet and other sheets where specified)

** It was agreed by Statutory Customers that the HESA standard populations would exclude writing-up and sabbatical students from 2007/08 onwards. Therefore mode of study codes 43, 44 and 51 are excluded from both the standard registration population and the population as at 1st December, and mode of study code 51 is excluded from the session population, from 2007/08 onwards.

First year identifier within standard registration population

Identifies if student is in their first year in the reporting period, where an Instance.COMDATE is between 01/08/2013 and 31/07/2014 inclusive

Qualifications obtained population (XPQUAL01, used in item 10)

This population is a count of all student instances associated with the award of a HE qualification (excluding HE credits) during the reporting period.

Length of study programme is calculated using Instance.SPLENGTH and Instance.UNITLGTH using the following method:

  • If Instance.UNITLGTH is in years then assume course is equal to or greater than 24 weeks
  • If Instance.UNITLGTH is in months then Instance.SPLENGTH must exceed 5 months for the course to be equal to or greater than 24 weeks
  • If Instance.UNITLGTH is in weeks then Instance.SPLENGTH must exceed 23 for the course to be equal to or greater than 24 weeks
  • If Instance.UNITLGTH is in days or hours then assume course is less than 24 weeks
  • If Instance.UNITLGTH is 9 or blank then assume course is equal to or greater than 24 weeks

Unrestricted populationBack to top

For C13051 (2013/14) there is a new item on a new sheet called Unrestricted_population. This item is to help bridge the gap between Checkdoc Item 1 that uses Standard Registration Population (XPSR01) and instances that are not contained within XPSR01. This will identify a total number of instances returned in the HEIs data submission. As with item 1 there is a split by Instance.MODE, level (COURSEAIM and XLEV501) and Domicile (XDOMGR01).

For 2012/13 Item12ai and 12aii now include a 3 way split. This is to identify new starters in the reporting period that have left in the same reporting period i.e. COMDATE and ENDDATE in reporting year, Leavers i.e. began studying in a previous reporting year and have left in the current reporting period and Others i.e. for all other students that started in a previous reporting period and have not left in the current reporting period. For C13051 this item has been further split to identify specifically the instances that have withdrawn or suspended.

These are identified as:

Instance.RSNEND coded 02, 03, 04, 05, 06, 07, 08, 09, 10, 11 or 99 OR

Instance.NOTACT is coded 1.

The Total (Excluding withdrawn or suspended) looks at Instance.RSNEND codes 01 and 98 and excludes the Instance.NOTACT code.

DomicileBack to top

The grouping of students by domicile involves the use of postcode mapping software and ONS geographical data to take the value of EntryProfile.POSTCODE and allocate that to a county. These are then amalgamated to countries.

Where the EntryProfile.POSTCODE is not valid or not given, the grouping of students by domicile involves a complex algorithm that uses both EntryProfile.DOMICILE and Instance.FEEELIG.

Assumption: CourseSubject.SBJCAn is the nth occurrence of this element in incoming data. It is linked with nth occurrence CourseSubject.SBJPCTn. This also assumes that there is no ordering of CourseSubject.SBJCA occurrences on loading.

This field is categorised as per the HESA Subject Area apportionment, as follows:

PGCE students are assigned completely to X1nn:

Where a student has Course.TTCID code 1, 2 or 8, G, H, L, M, N or P and Course.COURSEAIM M71or H71, and SBJCA1 is X1nn, the student is allocated 100% to SBJCA1

Where a student has Course.TTCID code 1, 2 or 8, G, H, L, M, N or P and Course.COURSEAIM M71or H71, and SBJCA1 is not X1nn, the student is allocated 100% to X100

For ITT students with any CourseSubject.SBJCA of X1nn, assign 50% to X1nn, and split remaining 50% to any other subjects reported pro rata:
