This document summarises the main changes to the Student record for 2014/15 as outlined in the Student record circular 14/01. Please note that any changes made to the 2014/15 Student record after the release of the manual will be documented in the Revision history.

The coverage for institutions in Wales will be extended to include all UK and other EU domiciled students.

All instances at institutions in Wales where (Instance.REDUCEDI = 00 or 04) and (EntryProfile.DOMICILE = XL, XK, XI, XH, XG, XF, IM, GG, JE, AT, AX, BE, BG, CZ, DE, DK, EE, ES, EU, FI, FR, GF, GI, GP, GR, HR, HU, IC, IE, IT, LT, LU, LV, MQ, MT, NL, PL, PT, RE, RO, SE, SI, SK, XA or XC) and Instance.COMDATE > 2014-07-31.

The coverage for institutions in Northern Ireland will no longer be extended to include all UK domiciled undergraduate students. It remains as per the situation for 2013/14, i.e. collected for UCAS entrants from 2013/14 onwards:

All instances at institutions in Northern Ireland where (Instance.REDUCEDI = 00, 01 or 04) and EntryProfile.UCASAPPID exists and (Course.COURSEAIM begins with H, I, J, C or is M22, M26, M28, M71 or M88) and Instance.COMDATE > 2013-07-31.

To facilitate the collection of data on the participation of care leavers in HE.
EntryProfile.PREVINST Last institution attended The field will require the previous institution identifier for entrants whose Instance.COMDATE is after 1 August 2014 to be submitted using the UK Provider Reference Number (UKPRN). To move towards utilising a single standard method of recording identifiers.
EntryProfile.QUALENT2 Highest qualification on entry This field will be removed. Replaced by QUALENT3 on the same entity. QUALENT2 ceased to be returnable for entrants following the introduction of EntryProfile.QUALENT3 in 2010. Usage is now low enough that the field can be removed.
EntryProfile.QUALENT3 Highest qualification on entry A new valid entry, P54, will be added to record 'Scottish Highers/Advanced Highers' separately. To split out the Scottish qualifications to facilitate analysis.
EntryProfile.SOC2000 Occupation code

This field has been removed, and replaced by SOC2010.

NB: Subsequent to the announcement of this removal, it has been decided that this field will need to be retained for continuing instances only. It will not be available for new entrants from 2014/15, who must use the new SOC2010 field. 

To ensure the coding frame for this information remains up-to-date.
Instance.INITIATIVES Initiatives Valid entry 8 'One Wales Scheme - foundation degree' will be removed, as this scheme will not exist in 2014/15. To simplify the schema for users, as a lack of need for this attribute was identified during consultation.
Instance.ITTPHSC ITT phase/scope Valid entry 84 'Ages 0-5 (Early Years)' will be added for institutions in England, to accommodate new Early Years Initial Teacher Training (ITT) programmes. To allow the collection of new ITT programmes.
Instance.RCSTDNT Research council student The coverage of this field has been extended to Instance.REDUCEDI type 01 'Low credit bearing'. To facilitate the analysis of research students.
QualificationsAwarded.QUAL Qualification awarded

In addition to the changes above, the underlying data type for a number of fields will change to remove the 'ReasonForNull' attribute: EntryProfile.POSTCODE, Instance.ENDDATE, Instance.MCDATE, Instance.PHDSUB, Instance.SPLENGTH, Instance.YEARLGTH and Student.BIRTHDTE. This will simplify the schema for users, as a lack of need for this attribute was identified during consultation.

Instance.LearnerFAM entity Learner funding and monitoring A maximum of fifteen Instance.LearnerFAM occurrences can now be returned for each instance, previously only ten were permitted by the schema. Required to bring data collected in the HESA Student record into line with the FE Individual Learner Record (ILR), in England.

Valid entries will be added:

  • MGA 'Maths GCSE achievement'

Guidance will be adjusted to cover these new valid entries.

LearnerFAM.LEARNFAMCODE Learner funding and monitoring code

Valid entries will be added in line with the changes to LearnerFAM.LEARNFAMTYPE:

  • HNS 1 'Learner is a high needs student in receipt of element 3 'top-up' funding from the local authority'
  • MGA 1 'Learner has GCSE Maths (at grade A*-C) - achieved by end of year 11'
  • MGA 2 'Learner has GCSE Maths (at grade A*-C) - achieved since the end of year 11'
  • MGA 3 'Learner does not have GCSE Maths (at grade A*-C)'
  • EGA 1 'Learner has GCSE English (at grade A*-C) - achieved by end of year 11'
  • EGA 2 'Learner has GCSE English (at grade A*-C) - achieved since the end of year 11'
  • EGA 3 'Learner does not have GCSE English (at grade A*-C)'
  • FME 1 'Learner is eligible for Free Meals'
  • PPE 1 'Learner is eligible for Service Child premium'

Valid entries will be added in line with the changes to LearningDeliveryFAM.LEARNDELFAMTYPE:

  • WPP 1 'DWP work programme'
  • HEM 5 'Student's qualifications and grades prior to enrolment are included in the student number control exemption list according to HEFCE'

Valid entries will be removed:

  • SPP 255-299 'Special projects and pilots'
  • HEM 2 'Student's qualifications prior to enrolment are AAB+ or equivalent according to HEFCE'
  • HEM 4 'Student's qualifications prior to enrolment are AAB or equivalent according to HEFCE'
