Staff record 2016/17 - Notification log
This document summarises all communications associated with the 2016/17 Staff record, starting with the publication of known changes to the record in May 2016 all the way through to collection closure in November 2017. Please refer to the Revision history document for full technical list of changes to the specifications.
HESA issue regular communications during the life of a collection:
- Circulars: announcements to interested parties concerning or issues relating to the collection. Circulars are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
- Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.
2017-08-17 Coding manual release - version 1.4
The following documents have been added:
- The Clinical academic salary values,
- The Single pay spine,
- A link to the Fixed database facility.
2017-07-13 Coding manual release - version 1.3
The following documents have been added:
- The Credibility reporting definitions,
- The Derived field specifications,
- The File structures for downloadable files, containing information on both the Data supply and Expected contract population files output from the data collection system,
- The Quality rules and Quality rules web page - FAQ.
Guidance has been added to Person.ACTLEAVE and Person.LOCLEAVE, giving further information on obtaining leaver data.
2017-05-22 Coding manual release - version 1.2
The following documents have been added:
- A link to the Download validation kit page.
- A link to the HESA XML data entry tool download page and guidance on how to use the HESA XML data entry tool.
- A link to the Download amalgamation tool page. The Quality rules.
Guidance added to Person.BIRTHDTE, giving further detail the purpose for this field being collected.
Guidance has been added to Person.ETHNIC, Person.GENDERID, Person.NATIOND, Person.RELBLF, Person.SEXORT, clarifying that providers may select the option of 'Prefer not to say' on these fields.
Additional guidance has been added to Person.PREVEMP, relating to new members of Staff.
2016-10-20 Coding manual release - version 1.1
Version 1.1 of the coding manual includes the full technical specification of the record for the 2016/17 reporting period. The schema, field specifications, valid entries, and guidance are all now available.
The changes announced previously for this collection have been implemented in the specification. The maximum number of occurrences for Person.PARLEAVE have been increased to 3. Contracts.LEVELS valid entries B1 'UCEA level 2A' and B2 'UCEA level 2B' removed, valid entry B0 'UCEA level 2' added. Person.CURACCDIS valid entry J530 'Gemology' has been updated to 'Gemmology'.
2016-06-02 Coding manual release - version 1.0
Version 1.0 of the coding manual publicises the circular which describes the agreed changes for the 2016/17 Staff record.
