Student record 2017/18
Notification log
This document summarises all communications associated with the 2017/18 Student collection, from first publication of known changes to the record through to collection closure in October 2018. Please refer to the Revision history document for full technical list of changes to the specifications.
HESA issue regular communications during the life of a collection:
- Communications: announcements to interested parties concerning or issues relating to the collection. Communications are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
- Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.
2018-10-19 Coding manual release overview - version 1.9
Version 1.9 of the coding manual includes the following changes:
- The Data collection schedule has been updated to change the sign-off date from 2 November to 6 November 2018.
2018-09-07 Coding manual release overview - version 1.8
Version 1.8 of the coding manual includes the following changes:
- XTPOINTS has been updated within the Derived field specifications.
- Valid entry changes have been made to QualificationsOnEntry.QUALTYPE.
2018-08-21 Coding manual release overview - version 1.7
Version 1.7 of the coding manual includes the following changes:
- XTPOINTS has been updated within the Derived field specifications.
- The PMUKPRN field has been removed from File structures for data supply files.
- The File structures for FE qualification aims report has been added to the manual.
- The Further guidance on reporting qualifications on entry page has been updated to take into account recent additions to the XTPOINTS appendix.
- Guidance changes have been made to Instance.DHFUND, Instance.FUNDCODE and Instance.INITIATIVES.
2018-06-29 Coding manual release overview - version 1.6
The following documents and schemas have been added to the coding manual under 'File structures for downloadable files' in the 'Submission process and quality assurance' section:
- File structures for data supply files,
- File structures for Expected instance population (HE and FE),
- File structures for FE continuity reports A, B and C,
- File structures for HE continuity reports A, B and C,
- File structures for National Student Survey (NSS),
- File structures for postgraduate research (PGR) student collaborative provision,
- File structures for Unistats.
- XTPOINTS has been updated within the Derived field specifications.
- Guidance changes have been made to Instance.FEEREGIME, Instance.ITTSCHMS, Instance.YEARPRG, LearningDeliveryFAM.LEARNDELFAMTYPE, REFData.UOA2014 and Student.ETHNIC.
- A coverage change has been made to EntryProfile.QualificationsOnEntry
2018-04-26 Coding manual release overview - version 1.5
Version 1.5 of the coding manual includes the following changes:
- Valid entry changes have been made to QualificationsOnEntry.QUALGRADE.
- File structure for Graduate Outcomes survey population for 2017/18 has been added to 'File structures for downloadable files' under 'Submission process and quality assurance'.
- Guidance changes have been made to Instance.GROSSFEE and Student.ORCID.
- The processing field specifications have been added to the Derived field specifications.
- Guidance amendments have been made to the Further guidance about FE field requirements for Apprenticeship Frameworks and Apprenticeship Standards, Further guidance about returning DfE programmes (excluding EYITT) and Further guidance about returning Early Years Initial Teacher Training (EYITT) programmes documents.
2018-02-22 Coding manual release overview - version 1.4
Version 1.4 of the coding manual includes the following changes:
- Valid entry changes have been made to Course.TQSSUB, Instance.FEOUTCOME, Instance.ITTSCHMS, Instance.NHSEMP, QualitifcationsAwarded.TQGSUB, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALTYPE.
- Guidance changes have been made to Course.MSFUND, Course.REGBODY, Instance.INITIATIVES, Instance.MODE, Instance.PROGTYPE, Instance.SPLENGTH, Instance.YEARPRG, ITTPlacement.PLMNTSCH, Student.RELBLF, and QualificationsOnEntry.QUALTYPE.
- Coverage changes have been made to EntryProfile.POSTCODE, Instance.ITTPHSC, Instance.RSNEND, Student.DISABLE, Student.ETHNIC, and Student.TTPCODE.
The Specification for the UCAS data for HESA (*J) 2017/18 document has been released under the 'UCAS data for HESA transaction' section of the manual.
The Further guidance on reporting qualifications on entry has been added to the manual.
First release of the Derived field specifications for this collection, added under the 'Data specification' section. These have been formatted as html rather than a Zip file to aid accessibility and allow individual fields to be bookmarked. In addition, revision histories are included for each field to allow for analysis of changes over time. It is the intention of HESA to publish derived fields in this format for all coding manuals from 2017/18 collections onwards.
2018-01-11 Coding manual release overview - version 1.3
Version 1.3 of the coding manual includes the following changes:
- QualificationsOnEntry.QUALTYPE valid entries 4U, 4V, 4W, 4X, 4Y, 4Z, and 5A have been removed and replaced with valid entries RP, RQ, RR, RS, RT, RU, and RV in order to align with UCAS.
- The InstancePeriod.LOCSDY guidance has been amended to highlight that Code S should only be used for years of the course where the whole course is mainly studied abroad.
- The coverage statement for Instance.ITTAIM, Instance.ITTPHSC and Instance.ENTRYRTE has been updated to remove Course.TTCID valid entry Q Early Years Initial Teacher training.
- The Reduced returns documentation has been updated to add Student.RELBLF into the tables since this field is now mandatory for all students.
2017-11-30 Coding manual release overview - version 1.2
Version 1.2 of the coding manual includes the first release of the following documents:
Additional changes made to the specification of the record for this release include:
- Valid entry changes have been made to EntryProfile.DOMICILE, Instance.INITIATIVES, Mobility.MOBLOCA, QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALSBJ, QualificationsOnEntry.QUALTYPE, and Student.NATION.
- The coverage statement has been revised for Instance.FEEREGIME.
- A number of guidance updates have been made to Course.CLSDCRS, Instance.MSTUFEE, Instance.PARTNERUKPRN, Institution.ILRGEN, REFData.UOA2014.
- The Coverage of the record has been updated for students who leave shortly after registering.
- The Data collection schedule (Apprenticeship Standards students) has been updated to include a link to the Data Processing Agreement.
- The Further guidance about FE field requirements for Apprenticeship Frameworks and Apprenticeship Standards has been updated to reflect changes made to the ILR specification.
Please note: The valid entry updates to Qualifications data in this release (some 600 additions across QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALSBJ, and QualificationsOnEntry.QUALTYPE) will not necessarily incorporate all of the updates from the recently released UCAS *J. These updates are expected to occur early 2018.
2017-07-27 Coding manual release overview - version 1.1
Version 1.1 of the coding manual includes the full technical specification of the record for the 2017/18 reporting period. The schema, field specifications, valid entries, and guidance are all now available.
3 new fields have been added to the HESA Student record for ILR requirements:
- A new Engagement.EPAORGID field to identify the organisation that will be carrying out the end point assessment for the Apprenticeship Standard.
- A new LearningDeliveryWork.LEARNWORKHOURS field to collect the hours planned for the individual work placement record.
- A new Student.PMUKPRN field to allow performance reporting on the original provider before they merged with the other organisation.
1 new field has been added to the HESA Student record for higher education providers in Scotland:
- A new Student.CARER field to monitor the participation and retention of student carers at higher education providers in Scotland.
4 fields have been removed from the HESA Student record for various requirements. These include:
- Course.SKEOS, Course.SKEUNITS, and Instance.SKEITT removed as there is no longer a requirement from Statutory Customers to capture information about Subject Knowledge Enhancement (SKE) courses.
- EntryProfile.WELBACC removed as there is no longer a requirement from HEFCW to capture Welsh Baccalaureate qualifications.
Additional changes made to the specification of the record for the 2017/18 reporting period include:
- The coverage statements have been revised for Instance.FinancialSupport, Instance.LearningDeliveryFAM, Course.COLLORG, EntryProfile.CARELEAVER, EntryProfile.PGCECLSS, EntryProfile.PGCESBJ, Instance.COLFROMDATE, Instance.COLFROMPROV, Instance.COLTODATE, Instance.COLTOPROV, Instance.FEEREGIME, Instance.FEEWAIVETYPE, Instance.GROSSFEE, Instance.HEAPESPOP, Instance.LOCATION, Instance.NETFEE, Instance.NUMHUSPREV, Instance.PHDSUB, Instance.RCSTDNT, Instance.REFData, Instance.SSELIG, Instance.TREFNO and Student.RELBLF.
- Valid entry changes made to Course.COURSEAIM, Course.MSFUND, Course.REDUCEDC, Course.TTCID, Engagement.ENGFFI, Engagement.ENGOUTCOME, Engagement.ENGWITHDRAW, EntryProfile.MARSTAT, Instance.AIMTYPE, Instance.ENTRYRTE, Instance.FEOUTCOME, Instance.FESTUMK, Instance.FUNDMODEL, Instance.INITIATIVES, Instance.ITTAIM, Instance.ITTSCHMS, Instance.MSTUFEE, Instance.REDUCEDI, Instance.WITHDRAWREASON, Institution.ILRGEN, LearnerFAM.LEARNFAMTYPE, QualificationsAwarded.CLASS, QualificationsAwarded.QUAL and Student.RELBLF.
- The minimum number of occurrences for Student.RELBLF and Engagement.STANDCODE have been changed.
2016-02-14 Communication - version 1.0
Version 1.0 of the coding manual publicises changes for the 2017/18 Student record.
This communication provides information about the agreed Student record changes for 2017/18. It sets out the results of the consultation process and summarises the changes that will be implemented for 2017/18.
A number of suppementary outcomes were communicated in the Student record supplementary outcomes for 2017/18.
