What is the UCAS data for HESA (*J) transaction?

UCAS Data for HESA (previously known as *J) is the transaction which has been designed to supply data available from UCAS to Higher Education Providers (HEPs), in a format that can be used in the HEP's HESA Student record or AP student record return.

There are a number of fields included in the transaction, and the specification to describe it will be made available by UCAS, as well as any translations from UCAS to HESA coding.

The transaction includes UCAS, CUKAS, and UCAS Teacher Training data on applicant characteristics, qualifications and other associated data used in the application cycle. This data is supplied to the HEP that the applicant subsequently attends in order to minimise the burden of re-collecting it for later submission to HESA.

In what format is this data available?

Data can be supplied in the following formats:
    (a) A flat-file type structure
    (b) odbc-link directly into tables
    (c) xml-link.

There is one record submitted per student. This includes deferred students, who will be included in the transaction from the year of application, and every subsequent year for which the student is a live applicant.

UCAS supplies all information it collects for the applicant. However, not all this data is needed for the HESA Student record and AP student record returns.

When is the UCAS Data for HESA transaction available?

At the end of the application cycle once examination results have been confirmed. This is usually mid-to-late November.
