This document summarises all communications associated with the 2018/19 Student collection, from first publication of known changes to the record through to collection closure in October 2019. Please refer to the Revision history document for full technical list of changes to the specifications.

HESA issue regular communications during the life of a collection:

• Communications: announcements to interested parties concerning or issues relating to the collection. Communications are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
• Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.

2019-10-16 Coding manual release overview - version 1.9

Version 1.9 of the coding manual includes the following changes:

• Guidance updates for Instance.MODE, Instance.SPECFEE, Instance.YEARPRG, QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALTYPE and Student.FNAMES
• The Understanding the NSS reports document has been added.

2019-08-30 Coding manual release overview - version 1.8

Version 1.8 of the coding manual includes the following changes:

• Coverage updated for LearnerEmploymentStatus.ILRAGREEID to include the restriction of Institution.ILRGEN = 1, reflecting the current behaviour of the HESA data collection system for C18051.
• Valid entry changes have been made to EntryProfile.DOMICILE, Mobility.MOBLOCA, and Student.NATION.
• The Further guidance about returning DfE programmes (excluding EYITT) and Further guidance about returning Early Years Initial Teacher Training (EYITT) programmes documents have been added under the 'Further guidance' section of the manual.
• Student.BIRTHDTE and AGE31JUL added to the NSS Exclusions within the File structures for National Student Survey (NSS).
• Student.ULN has been added to the Reduced returns page for Type 03 - Incoming visiting and exchange students and Type 04 - Dormant students for students at providers in England where any Instance.FESTUMK is coded 1, 3 or 5.
• Guidance has been updated for EntryProfile.DOMICILE, Instance.FEEREGIME, Instance.MSTUFEE, Instance.YEARPRG, and Student.RELBLF.
• The Derived field specifications have been updated, more detail can be found in the derived field revisions.

2019-07-09 Coding manual release overview - version 1.7

Version 1.7 of the coding manual includes the following changes:

• The Coverage has been updated.
• The Derived field specifications have been updated.
• Guidance has been updated for Course.COURSEAIM, EntryProfile.DOMICILE, Instance.CAMPID, Instance.CSTAT, Instance.GROSSFEE, Instance.INTENTLEV, Instance.MODE, Instance.NUMHUS, Instance.TYPEYR.

2019-05-23 Coding manual release overview - version 1.6

Version 1.6 of the coding manual includes the following changes:

The following documents and schemas have been added to the coding manual under 'File structures for downloadable files' in the 'Submission process and quality assurance' section:

• File structures for data supply files,
• File structures for Expected instance population (HE and FE),
• File structures for FE continuity reports A, B and C,
• File structures for FE qualification aims report,
• File structures for HE continuity reports A, B and C,
• File structures for National Student Survey (NSS),
• File structures for postgraduate research (PGR) student collaborative provision,
• File structures for Unistats.

• The sign-off date has been updated to 06 November 2019 from 02 November in the Data Collection Schedule.
• C18051DataTypes.xsd has been updated, more detail in the Revision history.
• A valid entry change has been made to Course.MSFUND.
• Guidance has been updated for EntryProfile.UCASAPPID, Instance.FUNDCODE, Module.TINST and Student.DISABLE.
• The Derived field specifications have been updated.

2019-04-11 Coding manual release overview - version 1.5

Version 1.5 of the coding manual includes the following changes:

• Valid entry changes have been made to QualificationsOnEntry.QUALTYPE.
• Guidance has been updated for Course.COURSEAIM, EntryProfile.QUALENT3, EmploymentStatusMonitoring.ESMCODE, Instance.HEAPESPOP, Instance.INITIATIVES, Instance.SPECFEE, QualificationsOnEntry.QUALTYPE and Student.DISABLE.
• Coverage has been updated for Instance.GROSSFEE, Instance.NETFEE and Instance.HEAPESPOP.
• The Derived field specifications have been updated.

2019-03-11 Coding manual release overview - version 1.4

Version 1.4 of the coding manual includes the following changes:

First release of the Derived field specifications for this collection, added under the 'Data specification' section.

The Specification for the UCAS data for HESA (*J) 2018/19 document has been released under the 'UCAS data for HESA transaction' section of the manual.

The Further guidance on reporting qualifications on entry has been added to the manual.

Changes to fields and entities:

• Valid entry changes have been made to EntryProfile.DOMICILE, Instance.NHSEMP, Mobility.MOBLOCA, REFData.UOA2021, Student.NATION, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALTYPE.
• Guidance has been updated for Course.COURSEAIM, EntryProfile.QUALENT3, Instance.ENDDATE, QualificationsOnEntry.QUALTYPE.
• Coverage has been updated for REFData.UOA2021.

2018-12-17 Coding manual release overview - version 1.3

Version 1.3 of the coding manual includes the following changes:

Changes to fields and entities:

• Valid entry changes have been made to QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALSBJ and QualificationsOnEntry.QUALTYPE.
• Guidance has been updated for Instance.INITIATIVES, Course.MSFUND and Instance.MODE.
• Coverage has been extended for Instance.SDEMPLOY and Instance.SDLEAD to account for the new Instance.ENTRYRTE valid entry.
• The Further guidance about FE field requirements for Apprenticeship Frameworks and Apprenticeship Standards page has been updated to remove the Instance.ILRAGREEID field from the table.

2018-08-30 Coding manual release overview - version 1.2

Version 1.2 of the coding manual includes the following changes:

Changes to fields and entities:

• REFData.UOA2021 has been added to the Reduced returns page for Type 04 - Dormant students.
• Guidance has been updated for Instance.DHFUND, Instance.ILRCAMPID and Instance.ILROTJHOURS.
• The Further guidance about FE field requirements for Apprenticeship Frameworks and Apprenticeship Standards document has been updated with the new FE fields for 2018/19.

2018-07-25 Coding manual release overview - version 1.1

Version 1.1 of the coding manual includes the following changes:

Changes to fields and entities:

• Coverage statements, notes and owners have been updated for the following fields: Instance.ILRCAMPID and Instance.ILROTJHOURS.
• The following fields have moved entities: LearnerEmploymentStatus.ILRAGREEID has moved from Instance to LearnerEmploymentStatus and ApprenticeshipEngagement.ILRSWSUPAIMID has moved from Student to ApprenticeshipEngagement; the coverage, owner and notes have also been updated for these fields.
• Guidance has been updated for Instance.INITIATIVES.

The following documentation has been added under the 'Submission process and quality assurance' section:

• HESA XML data entry tool and User guide,
• Quality rules,
• Submit data to HESA,
• Validation kit

2018-07-06 Coding manual release overview - version 1.0

Version 1.0 of the coding manual includes the full technical specification of the record for the 2018/19 reporting period. The schema, field specifications, valid entries, and guidance are all now available.

• The following new fields have been added to the record: Instance.ILRAGREEID, Instance.ILRCAMPID, Instance.ILROTJHOURS, Instance.SDEMPLOY, Instance.SDLEAD and REFData.UOA2021, Student.ILRSWSUPAIMID.
• The Instance.SSELIG field has been removed from the record as it's no longer required.
• Valid entry changes have been made to ApprenticeshipEngagement.ENGWITHDRAW, Instance.ENTRYRTE, Instance.INITIATIVES, Instance.ITTSCHMS, Instance.WITHDRAWREASON, and QualificationsAwarded.QUAL.
• Coverage changes have been made to the Instance.ITTPlacement and Instance.Mobility entities and the Student.Carer field.
• Valid combinations have changed for the following entities: Instance.LearningDeliveryFundingAndMonitoring, LearnerEmploymentStatus.EmploymentStatusMonitoring and Student.ContactPreference.
• Guidance updates have been made to ContactPreference.CONTPREFCODE, ContactPreference.CONTPREFTYPE, Instance.LearningDeliveryFundingAndMonitoring and LearningDeliveryWork.LEARNWORKEMPID.
