Alternative provider student record 2018/19 - Notification log
This document summarises all communications associated with the 2018/19 AP student collection, starting with the publication of known changes to the record in January 2018 all the way through to collection closure in October 2018. Please refer to the Revision history document for full technical list of changes to the specifications.
HESA issue regular communications during the life of a collection:
- Circulars: announcements to interested parties concerning or issues relating to the collection. Circulars are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
- Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.
2019-10-16 Coding manual release - version 1.7
Version 1.7 of the coding manual includes the following changes:
- Guidance updates for InstancePeriod.YEARPRG, Student.StudentEquality
- An update to the specification for NSS Person within File structures for downloadable files to align with the Data collection system and the accompanying XSD.
2019-08-30 Coding manual release - version 1.6
Version 1.6 of the coding manual includes the following changes:
- Valid entry label change for MM Burma within EntryProfile.DOMICILE and StudentEquality.NATION,
- Guidance updates for Instance.RSNEND, InstancePeriod.MODE and StudentEquality.RELBLF,
- Student.BIRTHDTE and AGE31JUL have been added to NSS Exclusions within the File structures for National Student Survey (NSS)
- The Derived fields specifications have been updated, more information can be found in the revisions
2019-07-18 Coding manual release - version 1.5
Version 1.5 of the coding manual includes the following changes:
- Guidance changes have been made to Course.COURSEAIM, EntryProfile.DOMICILE, InstancePeriod.DISALL, InstancePeriod.MODE, InstancePeriod.MSTUFEE, StudentEquality.ETHNIC, StudentEquality.GENDERID, StudentEquality.NATION, StudentEquality.RELBLF, StudentEquality.SEXID, StudentEquality.SEXORT
2019-06-13 Coding manual release - version 1.4
The following documents and schemas have been added to the coding manual under 'File structures for downloadable files' in the 'Submission process and quality assurance' section:
- File structures for data supply files,
- File structures for Expected instance population (HE and FE),
- File structures for National Student Survey (NSS),
- File structures for Unistats.
- Guidance changes have been made to InstancePeriod.PRIPROV.
- The sign-off date has been updated to 25 November 2019 from 22 November in the Data Collection Schedule.
2019-05-02 Coding manual release overview - version 1.3
Version 1.3 of the coding manual includes the following changes:
- The Coverage of the record of the record has been updated to remove references to HEAPES.
- The Derived field specifications have been updated.
- Valid entry changes have been made to QualificationsOnEntry.QUALTYPE.
- Guidance has been updated for Course.COURSEAIM, Instance.INITIATIVES, InstancePeriod.HEAPESPOP, QualificationsOnEntry.QUALTYPE and StudentEquality.DISABLE.
2019-03-18 Coding manual release overview - version 1.2
Version 1.2 of the coding manual includes the following changes:
First release of the Derived field specifications for this collection, added under the 'Data specification' section.
The Specification for the UCAS data for HESA (*J) 2018/19 document has been released under the 'UCAS data for HESA transaction' section of the manual.
The Further guidance on reporting qualifications on entry has been added to the manual.
Changes to fields and entities:
- Valid entry changes have been made to EntryProfile.DOMICILE, StudentEquality.NATION, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALTYPE.
- Guidance has been updated for Course.COURSEAIM, Instance.ENDDATE and InstancePeriod.HEAPESPOP.

Version 1.1 of the coding manual includes the following changes:

- Valid entry changes have been made to QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALSBJ and QualificationsOnEntry.QUALTYPE.
- Guidance has been updated for Instance.INITIATIVES.
2018-10-02 Coding manual release - version 1.0
Version 1.0 of the coding manual includes the full technical specification of the record for the 2018/19 reporting period. The schema, field specifications, valid entries, and guidance are all now available.
Additional changes made to the specification of the record for the 2018/19 reporting period include:
- The Data collection schedule has been added under the Overview section of the manual.
- Valid entry changes have been made to QualificationsAwarded.QUAL.
- Guidance has been updated in InstancePeriod.MODE.
