DESCRIPTION

This derived field creates a combination of UK Provider Reference Number (UKPRN), HESA unique student identifier (HUSID) and student instance identifier (NUMHUS). UKPRN uniquely identifies a provider, HUSID the student, and NUMHUS the engagement of that student on a learning activity. Although a HUSID should be unique across the sector, in practice, however, it is not uncommon for two providers to allocate the same HUSID. Consequently, the HUSID is only considered unique to the UKPRN, and a NUMHUS to that HUSID.

The combination of these three fields is the unique way to identify the basic unit of 'a coherent engagement with the provider aiming towards the award of a qualification(s) or credit', and allows instances to be linked across multiple collections. Although each field exists individually, combining them in one derived field facilitates the linking process.

Technical Specification

1. For each Instance entity submitted in a collection, link back to the parent Student entity, and to the parent Institution/Provider entity above that.

2. From these linked entities, concatenate the contents of the fields as follows:

IN THE CYY051 STUDENT RECORD:

Institution.UKPRN + Student.HUSID + Instance.NUHMUS = XUHN01

IN THE CYY054 ALTERNATIVE PROVIDER STUDENT RECORD:

Provider.UKPRN + Student.HUSID + Instance.NUHMUS = XUHN01

Although the field length of XUHN01 is set as 41 characters, the actual field length may vary between 22 and 41 characters. UKPRN has a fixed field length of 8 characters, and HUSID of 13 characters. NUMHUS may vary between 1 and 20 characters at the discretion of the submitting provider, and thus the combined values expressed as XUHN01 will differ in length.
