HESA Collections
Notification log
This document summarises all communications associated with the 2019/20 Student collection, from first publication of known changes to the record through to collection closure in October 2020. Please refer to the Revision history document for full technical list of changes to the specifications.
HESA issue regular communications during the life of a collection:
- Communications: announcements to interested parties concerning or issues relating to the collection. Communications are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
- Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.
2021-04-26 Coding manual release overview - version 1.10
Version 1.10 of the coding manual includes the following changes:
- The cost centre table and the schema for the downloadable cost centre table file have been updated within File structures for data supply files page.
2020-11-13 Coding manual release overview - version 1.9
Version 1.9 of the coding manual includes the following changes:
- Guidance updates have been made to the fields Instance.GROSSFEE and Instance.NETFEE.
2020-10-13 Coding manual release overview - version 1.8
Version 1.8 of the coding manual includes the following changes:
The list of valid entries for XINSTID01 has been amended within the Derived field specifications more detail in the derived field revisions page.
- Amendments have been made to the following fields INITIATIVES1, INITIATIVES2, INITIATIVES3, NSS_LEV1, NSS_LEV2, NSS_LEV3 and AGE31JUL within the File structures for National Student Survey (NSS), the XML Schema's have also been amended to reflect these changes.
2020-09-22 Coding manual release overview - version 1.7
Version 1.7 of the coding manual includes the following changes:
Changes to supporting documentation
- All references to Minerva and links have been removed from the Understanding student continuity and the UHN link document and have been replaced with Issue Management System.
- Coverage updates have been made to the entity Course.CourseSubject
- Guidance updates have been made to the fields Instance.SPECFEE and QualificationAwarded.QUAL.
2020-08-07 Coding manual release overview - version 1.6
Version 1.6 of the coding manual includes the following changes:
Changes to supporting documentation:
- Additional guidance has been added to the type 04 - dormant students section within the Reduced returns document.
The Specification for the UCAS data for HESA (*J) 2018/19 document has been released under the 'UCAS data for HESA transaction' section of the manual.
Guidance updates have been made to fields Course.CTITLE, CourseSubject.SBJCA, Instance.FEEREGIME, Instance.FUNDCODE, Instance.MODE, Instance.SPECFEE and StudentOnModule.MODSTAT.
2020-08-25 The XTPOINTS specification has been amended within the Derived field specifications more detail in the derived field revisions page.
2020-09-02 Additional information has been added to the Data collection schedule to advise the approach on deadlines due to COVID-19 pandemic.
2020-06-26 Coding manual release overview - version 1.5
Version 1.5 of the coding manual includes the following changes:
The following documents and schemas have been added to the coding manual under 'File structures for downloadable files' in the 'Submission process and quality assurance' section:
- File structures for data supply files,
- File structures for Expected instance population (HE),
- File structures for HE continuity reports A, B and C,
- File structures for National Student Survey (NSS),
- File structures for postgraduate research (PGR) student collaborative provision,
- File structures for Unistats.
Guidance updates have been made to the 'Dormant students' section within the Coverage of the record.
The applicable countries amended in fields - Course.FEQAIMC, Instance.CSTAT and Instance.TREFNO within Data items.
A link to the support guide has been added to provide additional information under sections 'Return' and 'Commit' in Data collection schedule.
A nil return sign-off form has been added under the 'Submission process and quality assurance' section of the coding manual.
- Guidance updates have been made to fields Instance.ENDDATE, Instance.INITIATIVES, Instance.MODE, Instance.RSNEND, Instance.SPECFEE, QualificationAwarded.CLASS and QualificationAwarded.QUAL.
- Coverage update has been made to field Instance.FEEREGIME.
(2020-07-20) Guidance updated link removed for further guidance on FTE reporting within Module.FTE, as it is no longer applicable.
2020-05-19 Coding manual release overview - version 1.4
Version 1.4 of the coding manual includes the following changes:
- Covid-19 Exceptional guidance created for the C19051 Student return.
- Guidance updates have been made to the 'Dormant students' section within the Coverage of the record
- Multiple technical specifications have been updated in the Derived field specifications more detail in the derived field revisions page.
- Coverage and guidance update has been made to the entity EntryProfile.QualificationsOnEntry.
- Coverage and guidance update has been made to the field Instance.MSTUFEE and Instance.STULOAD.
- Guidance updates have been made to fields Instance.SPECFEE and Instance.INITIATIVES.
- Valid entry changes have been made to Course.COURSEAIM, QualificationsAwarded.QUAL and QualificationsOnEntry.QUALTYPE.
- Guidance updates have been made to Instance.CAMPID, Instance.ENDDATE, Instance.LOCSDY, Instance.MODE, Instance.SPLENGTH, Module.TINST, QualificationsAwarded.QUAL
- Valid entry changes have been made to Instance.INITIATIVES, QualificationsAwarded.QUAL, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALSBJ
- The guidance in Data collection schedule has been amended to provide greater clarity and additional sections 'Missed deadlines' and 'Post collection information' have been added. Additionally the nil return and return date has been amended to the 15th September.
- The File structure data model diagram has been updated to remove ILR elements that are no longer required.
- The guidance for the data submission process within the Further guidance on Apprenticeship Standards document has been removed.
- The guidance for the Additional requirements for FTE students in England within the Reduced returns document has been removed.
- All FE fields have been removed from the schema following feedback from the sector.
- The Instance.LOCATION field has been removed from the record as requested by OfS.

- Field length has been increased for QualificationsOnEntry.QUALGRADE.
- HESA will no longer be generating ILR files as a result all of the entities and fields required for this purpose have been marked as no longer active and should not be returned by providers from 2019/20.
- All references to the 'Equality Challenge Unit (ECU)', the 'Higher Education Academy (HEA)', and the 'Leadership Foundation for Higher Education (LFHE)' have been changed to 'Advance HE', following the merger of these organisations.

- First issue of the Further guidance on collaborative supervision arrangements, Further guidance on returning DfE programmes (excluding EYITT), Further guidance on returning Early Years Initial Teacher Training (EYITT) programmes, and the Understanding student continuity and the UHN link documents for the 2019/20 collection, added under the 'Further guidance' section of the coding manual.
- The Further guidance on Apprenticeship Standards students has been updated to clarify the change in requirements for 2019/20.
- The key dates and deadlines within the Data collection schedule have been updated.
- The Reduced returns page has been updated to add Student.ULN for Type 03 and Type 04 as well as removing Instance.DHREGREF and Instance.HEAPESPOP.
- The Instance.DHREGREF and Instance.HEAPESPOP fields have been removed from the record as they are no longer required.
- Valid entry changes have been made to Course.COURSEAIM, Course.MSFUND CourseSubject.SBJCA, EntryProfile.PGCESBJ, Instance.INITIATIVES and ModuleSubject.MODSBJ.
- Maximum occurences have been updated in Course.CourseSubject, EntryProfile.PGCESBJ and Instance.INITIATIVES.
- A Coverage change has been made to Instance.TREFNO and ModuleSubject.MODSBJ.
- Guidance updates have been made to Course.COURSEAIM and Instance.INITIATIVES.

Please note: The valid entry updates to Qualifications data (QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALSBJ, and QualificationsOnEntry.QUALTYPE) are expected to occur early 2020 to align with the recently released UCAS *J.
2019-05-20 Coding manual release overview - version 1.0
Version 1.0 of the coding manual includes the full technical specification of the record for the 2019/20 reporting period. The schema, field specifications, valid entries, and guidance are all now available.
Please note that the guidance for CourseSubject.SBJCA, CourseSubject.SBJPCNT, EntryProfile.PGCESBJ, Instance.ITTSCHMS and ModuleSubject.MODSBJ will be added shortly.

This communication provides information about the agreed Student record changes for 2019/20. This communication sets out the results of the consultation process and summarises the changes that will be implemented for 2019/20.
