Staff record 2020/21 - Notification log
This document summarises all communications associated with the 2020/21 Staff record, starting with the publication of known changes to the record in November 2019 all the way through to collection closure in November 2020. Please refer to the Revision history document for full technical list of changes to the specifications.
HESA issue regular communications during the life of a collection:
- Circulars: announcements to interested parties concerning or issues relating to the collection. Circulars are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
- Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.
2021-09-06 Coding manual release - Version 1.7
Version 1.7 includes the following:
- An update to the Data collection schedule
- An update to the Credibility reporting definitions document
- An update to the Proposed Rule changes document.
2021-07-12 Coding manual release - Version 1.6
Version 1.6 includes the following:
- An update for the Clinical academic salary values
- A link to the Fixed database facility
- The Template Exit Survey has been removed.
2021-06-14 Coding manual release - Version 1.5
Version 1.5 includes the following:
- The addition of the Derived field specifications
- The document for Clinical academic salary values
- The document for Single pay spine has been added
- An update to the File structures for downloadable files page
2021-05-18 Coding manual release - Version 1.4
Version 1.4 includes the following:
- An update to Person.DISABLE. This is to coincide with the best practice and looking to align coding frames for the future. This will be reflected in the valid entries list and C20025 schema.
- An update to the Data collection schedule
2021-04-21 Coding manual release - Version 1.3
Version 1.3 includes the following:
- The release of the File structures for downloadable files page
- An update to the Coverage of the record
- The release of the Proposed rule changes for C20025
2021-03-22 Coding manual release - Version 1.2
Version 1.2 includes the following:
- An update to the Coverage statement.
- An update to the Data collection schedule.
- Change to field length for Contract.RESCON and Person.LOCLEAVE
- References to ECU have been removed and have been replaced with Advance HE in the following fields: Person.DISABLE, Person.ETHNIC, Person.GENREASSIGN, Person.PARLEAVE, Person.RELBLF, Person.SEXID and Person.SEXORT
2021-03-02 Coding manual release - Version 1.1
Version 1.1 includes the following:
- Removal and addition of new valid entries within Person.PREVHEI and Person.REGBODY
- Guidance updates for Person.DISABLE, Person.NATIOND and Person.SEXID
- Coverage and guidance updated for Contract.SIGRES
- Guidance and Description updated for Person.Governor
- An update to the Data collection schedule

2021-01-27 Coding manual release - Version 1.0
Version 1.0 of the coding manual publicises the agreed changes for the 2020/21 Staff record, along with the full technical specification, including schema, field specifications, valid entries and guidance, of the record for the 2020/21 reporting period.
Version 1.0 includes the following:
- Removal of fields Contract.ECRSTAT, Contract.REFFTE, Person.DATEFHEI and Person.REFUOA2021.
- Removal of valid entries within Person.ACTCHQUAL and Person.REGBODY
- Guidance changes for Person.ACTCHQUAL, Person.REGBODY and Person.PREVEMP
- New valid entries for Contract.RESCON, Person.ACTLEAVE, Person.DISABLE, Person.ETHNIC, Person.GENREASSIGN, Person.LOCLEAVE, Person.NATIOND, Person.REGBODY, Person.RELBLF and Person.SEXORT
