This document summarises all communications associated with the 2020/21 Student collection, from first publication of known changes to the record through to collection closure in October 2020. Please refer to the Revision history document for full technical list of changes to the specifications.

HESA issue regular communications during the life of a collection:

• Communications: announcements to interested parties concerning or issues relating to the collection. Communications are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
• Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.

2021-02-26 Coding manual release overview - version 1.5

Version 1.5 of the coding manual includes the following changes:

• The Coding manual release schedule has been updated.
• First release of the Derived field specifications for this collection, added under the 'Data specification' section. Unistats_CLASS has been removed as this is no longer required, XPSR01 specification has been rolled on from 2019/20 collections although this specification is under review and likely to change in a future release.
• The C20051DataTypes.xsd schema has been updated.
• HESA XML data entry tool and User guide.
• Covid-19 Exceptional guidance created for the C20051 Student return.
• The guidance for Reduced returns has been updated.
• Coverage updates have been made to the fields Course.AWARDBOD and Student.ULN.
• Guidance updates have been made to the fields Course.COURSEAIM, Course.MSFUND, Instance.ENDDATE, Instance.FUNDCODE, Instance.INITIATIVES, Instance.LOCSDY, Instance.MODE, Instance.NETFEE, Instance.REFData, Instance.STULOAD, Instance.QTS, Instance.TYPEYR, Institution.Course, Student.NATION, QualificationsAwarded.CLASS and QualificationsAwarded.QUAL.
• A change to the reason required has been made to the fields QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALSBJ.
• Valid entry changes have been made to QualificationsAwarded.CLASS, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALTYPE

2021-01-06 Coding manual release overview - version 1.4

Version 1.4 of the coding manual includes the following changes:

• The File structure diagram within the guidance has been updated.
• The guidance for Reduced returns has been updated.
• The guidance for Understanding student continuity and the UHN link has been updated.
• Coverage updates have been made to entities Course.CourseSubject and Instance.FinancialSupport.
• Coverage update has been made to the field Course.TTCID.
• Guidance and coverage updated have been made to the field EntryProfile.CARELEAVER.
• Guidance and valid entry changes have been made to the field CourseSubject.SBJCA.
• Guidance updates have been made to the fields Course.COURSEAIM, Instance.FESTUMK, Instance.FUNDCODE, Instance.GROSSFEE, Instance.MSTUFEE, Instance.NETFEE, Instance.SPECFEE, Module.FRANIND, Module.PCOLAB and QualificationsAwarded.CLASS.
• Valid entry changes have been made to QualificationsOnEntry.QUALSBJ and QualificationsOnEntry.QUALTYPE

2020-09-30 Coding manual release overview - version 1.3

Version 1.3 of the coding manual includes the following changes:

First release of further guidance:

• Further guidance on Apprenticeship Standards students
• Further guidance on collaborative supervision arrangements
• Further guidance on returning DfE programmes (excluding EYITT)
• Further guidance on returning Early Years Initial Teacher Training (EYITT) programmes
• Understanding student continuity and the UHN link - All references to Minerva and links have been removed and have been replaced with Issue Management System.

Changes to fields and entities:

• Coverage changes have been made to the entity Course.CourseSubject.
• Coverage changes have been made to the following field QualificationsAwarded.CLASS.
• Guidance changes have been made to the following entity Institution.Course.
• Guidance changes have been made to the following fields QualificationAwarded.QUAL.
• Minimum occurrences have been increased from '0' to '1' for ModuleSubject.MODSBJP.

2020-09-07 Coding manual release overview - version 1.2

Version 1.2 of the coding manual includes the following change:

• The schema ordering for all fields within the C20051.xsd has been amended to follow the HESA Standard - alphabetical ordering of Primary Keys, followed by Foreign Keys, followed by the remaining fields. The fields that will directly move position are: Institution.UKPRN, Instance.SDEMPLOY, Instance.SDLEAD, ITTPlacement.PLMNTDYS, DeliveryOrganisationAndLocation.PCODELOC, and Student.SERLEAVE.

2020-08-27 Coding manual release overview - version 1.1

Version 1.1 of the coding manual includes the following changes:

• First issue of the following schemas C20051.xsd, C20051DataTypes.xsd and C20051CodeLists.xsd for the 2020/21 collection, added under the 'Data specification' section of the coding manual.
• First issue of the File structure guidance, added under the 'Data specification' section.
• First issue of the Further guidance on Apprenticeship Standards students document, added under the 'Further guidance' section.
• First issue of the Validation overview guidance, added under the 'submission process and quality assurance' section.
• Guidance updates have been made to the fields Course.DELORGPROP and Instance.SPECFEE.

2020-07-30 Coding manual release overview - version 1.0

Version 1.0 of the coding manual includes the following:

Changes to Data specification documentation:

• The guidance within the section 'General definition' in Coverage of the record has been updated.
• The guidance within the section 'Type 04 Dormant Students' in Reduced returns has been updated.

The following new sub entity and fields have been added to the Course entity:

• Course.DeliveryOrganisationAndLocation, Course.DELORG, Course.DELORGPROP and Course.PCODELOC.

  The following new fields have been added to the Entry Profile entity:

  • EntryProfile.APELCRD, EntryProfile.CRDPTSTU, EntryProfile.CRDSCM and EntryProfile.ESTRANGED.

  The following new field has been added to the Financial support entity:

  • FinancialSupport.APPSPEND

  The following new fields have been added to the Student entity:

  • Student.BSLUSER and Student.SERLEAVE

  Changes to fields and entities:

  • The following fields Course.FEQAIMC, Instance.CSTAT, Instance.DESTIN, Instance.FRANPART, Instance.GLHRS, Instance.NUMUNITS, Instance.NOUNTACH and Instance.PROGRESS have been removed as FE data is no longer submitted by providers in Wales.
  • The REFdata.UOA2014 field has been removed from the record as it is no longer required.
  • Valid entry changes have been made to Course.COURSEAIM, Instance.LOCSDY, Instance.MODE, QualificationsAwarded.CLASS, QualificationsAwarded.TQGSEC, QualificationsAwarded.TQSSEC, Student.ETHNIC, Student.GENDERID, Student.SEXORT.
  • Coverage and guidance updates have been made to Instance.MSTUFEE.
  • Coverage changes has been made to EntryProfile.CARELEAVER, EntryProfile.PARED, Instance.ENTRYRTE, Instance.FEEREGIME, Instance.GROSSFEE, Instance.NETFEE, QualificationsAwarded.CLASS, REFdata.UOA2021, Student.GENDERID, Student.SEXORT.
  • Coverage updates made to the following fields Course.AWARDBOD, Course.TTCID, Course.CourseSubject, Student.TTPCODE, Instance.BRIDGE, Instance.DISALL, Instance.EXCHANGE, Instance.SPECFEE, Instance.TYPEYR, Instance.YEARLGTH, Instance.YEARPRG, Instance.YEARSTU, Module.FRANIND and StudentOnModule.MODCOUNT to remove references to FE data in Wales as this is no longer collected.
  • Guidance updates have been made to Course.COURSEAIM, Instance.DISALL, Instance.ENDDATE, Instance.FinancialSupport, Instance.INITIATIVES, Instance.ITTSCHMS, Instance.LOCSDY, Instance.MODE, Module.CRDTSCM and Module.CRDTPTS.

  2020-08-03 Collection dates amended within the Data Collection Schedule to match those supplied in the support guides.

  Communication - April

  This communication provides information about the agreed Student record changes for 2020/21. This communication sets out the results of the consultation process and summarises the changes that will be implemented for 2020/21.
