Student Alternative record 2020/21 - Notification log

This document summarises all communications associated with the 2020/21 Student Alternative collection, starting with the publication of known changes to the record in January 2020 all the way through to collection closure in October 2021. Please refer to the Revision history document for full technical list of changes to the specifications.

HESA issue regular communications during the life of a collection:

• Circulars: announcements to interested parties concerning or issues relating to the collection. Circulars are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
• Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.

2021-09-27 Coding manual release overview - version 1.12

Version 1.12 of the coding manual includes the following changes:

• Guidance updates have been made to the Data collection schedule.

Version 1.11 of the coding manual includes the following changes:

• Guidance updates have been made to the Data collection schedule.
• Guidance updates have been made to the fields FinancialSupport.FINTYPE and StudentEquality.SEXID.

2021-08-20 Coding manual release overview - version 1.10

Version 1.10 of the coding manual includes the following changes:

• The first two headers within the Data collection schedule have been updated.
• An appendix has been updated in the Derived field specifications more detail in the derived field revisions page.
• The document Understanding the NSS reports has been added under the 'Submission process and quality assurance' section.
• Guidance update has been made to the entity DeliveryOrganisationAndLocation.
• Coverage has been updated for the fields EntryProfile.CARELEAVER and EntryProfile.PARED.
• Guidance updates have been made to the fields DeliveryOrganisationAndLocation.PCODELOC, EntryProfile.APELCRD, EntryProfile.CARELEAVER, EntryProfile.CRDPTSTU, InstancePeriod.MODE, InstancePeriod.STULOAD, Student.SSN, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALTYPE.
• Valid entry changes have been made to the field QualificationsOnEntry.QUALTYPE.

2021-07-20 Coding manual release overview - version 1.9

Version 1.9 of the coding manual includes the following changes:

• An appendix has been updated in the Derived field specifications more detail in the derived field revisions page.
• The File structures for National Student Survey (NSS) has been added to the 'File structures for downloadable files' in the 'Submission process and quality assurance' section.
• The Nil return sign-off form has been added to the 'Submission process and quality assurance section'.
• The field description and coverage for InstancePeriod.PRIPROV has been updated.
• Guidance updates have been made to the entity FinancialSupport.
• Guidance update has been made to the fields Instance.GROSSFEE, EntryProfile.QUALENT3 and InstancePeriod.INITIATIVES.
• Valid entry changes have been made to QualificationsOnEntry.QUALTYPE.

2021-06-23 Coding manual release overview - version 1.8

Version 1.8 of the coding manual includes the following changes:

• An appendix has been updated in the Derived field specifications more detail in the derived field revisions page.

The following documents and schemas have been added to the coding manual under 'File structures for downloadable files' in the 'Submission process and quality assurance' section:

• File structures for data supply files,
• File structures for Expected instance population (HE),
• File structures for Unistats.

2021-05-26 Coding manual release overview - version 1.7

Version 1.7 of the coding manual includes the following changes:

• Additional information has been added to the Data collection schedule to advise the approach on deadlines due to COVID-19 pandemic.
• An appendix has been updated in the Derived field specifications more detail in the derived field revisions page.
• Field length and valid entry changes have been made to QualificationsOnEntry.QUALGRADE.
• Valid entry changes have been made to QualificationsOnEntry.QUALTYPE.
• Coverage updates have been made to the fields Course.AWARDBOD, EntryProfile.CARELEAVER and EntryProfile.PARED.
• Guidance update has been made to the entity FinancialSupport.
• Guidance updates have been made to the fields Course.CTITLE, EntryProfile.APELCRD, EntryProfile.DOMICILE, Instance.ENDDATE, Instance.FUNDCODE, InstancePeriod.MSTUFEE, InstancePeriod.PRIPROV, QualificationsAwarded.CLASS, QualificationsAwarded.QUAL and StudentEquality.NATION.

2021-04-07 Coding manual release overview - version 1.6

Version 1.6 of the coding manual includes the following changes:

The following documentation has been added under the 'Submission process and quality assurance' section:

• Quality rules.
• Submit data to HESA.
• Validation kit.

• The C20054DataTypes.xsd schema has been updated.
• Coverage changes have been made to the fields Instance.GROSSFEE and Instance.NETFEE.
• Guidance changes have been made to the fields Course.DeliveryOrganisationAndLocation, EntryProfile.CARELEAVER, EntryProfile.CRDPTSTU, EntryProfile.CRDSCM, StudentEquality.DISABLE, StudentEquality.ETHNIC, StudentEquality.GENDERID, StudentEquality.RELBLF, StudentEquality.SEXID, StudentEquality.SEXORT.
• The maximum occurrences for entity FinancialSupport have been changed from unbounded to 4.
• Valid entry and guidance changes have been made to the field Course.REGBODY.

2021-02-26 Coding manual release overview - version 1.5

Version 1.5 of the coding manual includes the following changes:

• Covid-19 Exceptional guidance created for the C20054 Student Alternative return.
• Collection dates amended within the Data Collection Schedule to match those supplied in the table.
• First release of the Derived field specifications for this collection, added under the 'Data specification' section. Unistats_CLASS has been removed as this is no longer required, XPSR01 specification has been rolled on from 2019/20 collections although this specification is under review and likely to change in a future release.
• The C20054DataTypes.xsd schema has been updated.
• HESA XML data entry tool and User guide.
• Coverage update has been made to the field Course.AWARDBOD.
• Guidance change has been made to the entity Provider.Course.
• Guidance changes have been made to fields EntryProfile.APELCRD, EntryProfile.CRDPTSTU, Instance.FUNDCODE, InstancePeriod.COURSEID, InstancePeriod.INITIATIVES, InstancePeriod.LOCSDY, InstancePeriod.MODE, QualificationsAwarded.CLASS, QualificationsAwarded.QUAL.
• Changes to the reason required has been made to fields Course.OWNCOURSEID, QualificationsOnEntry.QUALGRADE, QualificationsOnEntry.QUALSBJ, QualificationsOnEntry.QUALSIT, QualificationsOnEntry.QUALTYPE and QualificationsOnEntry.QUALYEAR.
• Valid entry changes have been made to the field QualificationsAwarded.CLASS, QualificationsOnEntry.QUALGRADE and QualificationsOnEntry.QUALTYPE.

2021-01-06 Coding manual release overview - version 1.4

Version 1.4 of the coding manual includes the following changes:

• The guidance and diagrams have been updated within File structure and entity overview.
• Reference to Scotland/Scottish providers has been removed as there are no Scottish providers submitting to C20054.
• Coverage update has been made to the field StudentEquality.ETHNIC.
• Guidance and coverage updates have been made to the fields Instance.GROSSFEE, Instance.NETFEE.
• Guidance updates have been made to the fields InstancePeriod.MSTUFEE and QualificationsAwarded.CLASS.
• Minimum occurrences have been amended for StudentEquality.GENDERID and StudentEquality.SEXORT.
• Valid entry changes have been made to QualificationsOnEntry.QUALSBJ and QualificationsOnEntry.QUALTYPE

2020-09-30 Coding manual release overview - version 1.3

Version 1.3 of the coding manual includes the following changes:

First release of further guidance:

• Further guidance on returning postgraduate students to the Student Alternative Record
• Understanding student continuity and the UHN link.

Changes to fields and entities:

• Coverage changes have been made to the following fields InstancePeriod.DISALL and QualificationsAwarded.CLASS
• Guidance changes have been made to the following fields Instance.NETFEE, Studentequality.DISABLE and QualificationAwarded.QUAL.

2020-09-07 Coding manual release overview - version 1.2

Version 1.2 of the coding manual includes the following change:

• The schema ordering for all fields within the C20054.xsd has been amended to follow the HESA Standard - alphabetical ordering of Primary Keys, followed by Foreign Keys, followed by the remaining fields. The fields that will directly move position are: DeliveryOrganisationAndLocation.PCODELOC, EntryProfile.APELCRD, EntryProfile.CARELEAVER, EntryProfile.CRDPTSTU, EntryProfile.CRDSCM, and EntryProfile.SEC.

2020-08-27 Coding manual release overview - version 1.1

Version 1.1 of the coding manual includes the following changes:

• First issue of the following schemas C20054.xsd, C20054DataTypes.xsd and C20054CodeLists.xsd for the 2020/21 collection, added under the 'Data specification' section of the coding manual.
• First issue of the File structure and entity overview guidance, added under the 'Data specification' section.
• First issue of the Validation overview guidance, added under the 'submission process and quality assurance' section.

2020-07-30 Coding manual release overview - version 1.0

Version 1.0 of the coding manual includes the following:

Changes to Data specification documentation:

• The guidance within the section 'Coverage' in Coverage of the record has been updated.

The following new sub entity and fields have been added to the Course entity:

• Course.DeliveryOrganisationAndLocation
• Course.DELORG, Course.DELORGPROP and Course.PCODELOC

  The following new fields have been added to the Entry Profile entity:

  • EntryProfile.APELCRD, EntryProfile.CARELEAVER, EntryProfile.CRDPTSTU, EntryProfile.CRDSCM, EntryProfile.PARED, EntryProfile.SEC and EntryProfile.UCASSCHEMECODE

  The following new sub entity and fields have been added to the Instance entity:

  • FinancialSupport
  • FinancialSupport.APPSPEND, FinancialSupport.FINAMOUNT and FinancialSupport.FINTYPE

  The following new field has been added to the Student entity:

  • Student.UCASPERID

  Changes to fields and entities:

  • Valid entry changes have been made to QualificationsAwarded.CLASS, Student.GENDERID, Student.SEXORT.
  • Coverage and guidance updates have been made to Instance.MSTUFEE.
  • Coverage changes has been made to Instance.GROSSFEE, Instance.NETFEE, QualificationsAwarded.CLASS, Student.GENDERID and Student.SEXORT.

  2020-08-03 Collection dates amended within the Data Collection Schedule to match those supplied in the support guides.
