Coverage of the record

Version 1.0 Produced 2022-05-26

For the academic year 2020/21, assessment data for the first and final year of study only were collected. From 2021/22 onwards, assessment data will be collected for every year of study.

All assessments which use a numerical score are required. Assessments which only have a pass/fail recorded, for example sign-off of a completed e-portfolio, are not required for this return.

Please note that intercalated years are not covered by this collection, and assessments taken by students taking an intercalated year should not be included in your return.

For the purposes of the record, intercalation is where a Medicine, Dentistry or Veterinary student takes time out from their programme to study for qualification or credit that does not count towards their main qualification, with the intention to return to their programme on completion. Intercalation could take place at the same provider or a new provider. If the student is taking time out from their programme to complete a placement, this is not intercalation.

Generally, assessment data should be returned for medical students returned with a COURSEAIM of M16, H16 or I16 in the HESA Student return. These are:

  • M16 - Pre-registration masters degree leading towards obtaining eligibility to register to practice with a health or social care or veterinary statutory regulatory body
  • H16 - Pre-registration first degree with honours leading towards obtaining eligibility to register to practice with a health or social care or veterinary statutory regulatory body
  • I16 - Pre-registration ordinary (non-honours) first degree leading towards obtaining eligibility to register to practice with a health or social care or veterinary statutory regulatory body

Student assessment data should also be returned for those returned in the HESA Student record with a REGBODY of ‘01 – General Medical Council’. We would expect courses with COURSEAIM M16, H16 or I16 to come under the supervision of the GMC.  Assessment data should be returned for courses that do not currently have primary medical qualification awarding powers but anticipate being granted these when the first cohort is closer to graduation.

In the HESA Data Futures model this will be assessment data for those students returned with a QUALCAT = M0003, H0003 or I0001 and where the ACCREDITATIONID = 05901.

Whilst the below list is not exhaustive, courses meeting the coverage of the GMC Assessment record may be returned with a SBJCA of:

SBJCA LABEL
100267 clinical medicine
100276 pre-clinical medicine
101309 obstetrics and gynaecology
101324 orthopaedics
101325 paediatrics

101331 gastroenterology
101334 allergy
101335 epidemiology
101336 anaesthesia

If a provider believes a course other than these listed COURSEAIMS meets the inclusion criteria for this return they should contact the GMC to discuss (by email at [email protected]).
