What time do seminars start?

Depending on the subject matter and venue, the majority of seminars start between 10am and 11am. Specific information about the start time of each of our seminars can be found in Seminars. We also provide a programme for the event as part of our booking confirmation e-mail.


During the first half hour of a seminar, you will register and get a chance to meet other delegates - refreshments will be provided during this time. We therefore highly recommend you arrive in good time for registration and refreshments. However, if your travel arrangements do not allow this, please arrive as soon as possible and before the start of the introduction to the seminar.


If I arrive late can I still attend?

For the benefit of other delegates and as a courtesy to our trainers, arrival to our venues should be no later than the scheduled introduction to the seminar. However, we do understand that delegates are reliant on the vagaries of public transport, and possible unforeseen delays. If you arrive late please make your way to the training room and see a trainer at the earliest break so we can take your registration details and update you on what has been covered.  


What time do seminars end?

To get the full benefit of an event it is expected that delegates should arrange to be in attendance for the full duration of a seminar. However, we understand that on ocassion some delegates may need to leave before the end of a seminar to fit in with difficult onwards travel arrangements. If this applies to you, please note that in order to reduce the disruption to other delegates and to ensure you do not leave without a seminar pack or key information, please see one of our trainers on the day so the necessary arrangements can be made.


What do I do when I arrive?

If you are attending a seminar at the HESA office, you will to need to make your way to our Reception where you will be given a visitor's pass for the day. Once you have obtained your visitor's pass, a member of staff will show you through to the conference area.  Please ensure that you complete our registration form which will be available in the conference area. Refreshments will made be available throughout the registration period.

If you are attending an external seminar, on arriving at the venue please follow the signs and locate a trainer who will register your details. On some occasions, depending on the venue and subject matter, you may also be given a name badge.


Is parking available?

We do not have delegate car parking at the HESA office, however; car parking is available in the vicinity but at a cost. If you would like details of the car parking facilities in Cheltenham please visit

If you are attending an external seminar, confirmation about the car parking available at the venue will be posted in the Seminars 'more details' pages. Please note that not all external venues provide car parking facilities and if they do this will usually be at cost. 


Is lunch provided?

We provide lunch inclusive for delegates booking onto all of our seminars. Refreshments will also be provided throughout the day.


Can you cater for special dietary requirements?

If you have any special dietary requirements, please inform us of the specific details when booking. We will do our upmost to accommodate any special requirements you may have.


What is the dress code?

There is no particular dress code when attending a HESA seminar. We advise delegates to wear comfortable clothing and we find that casual business dress clothing is most commonly worn by delegates.


What do I need to bring with me?

We will provide all the materials required on the day including refreshments, lunch and stationery. Please note, bringing along confirmation of your booking is not essential as these details will have been already captured on our booking form.


How many delegates are there on a seminar?

The number of delegates attending a seminar or bespoke training visit will differ on each occasion, depending on the type and purpose of the event. Some of the more interactive events are smaller (average 20 delegates), other national events are held for larger audiences (average 100 delegates). Where will seminars be held?

Our seminars are held at both our HESA office in Cheltenham and also at external venues across the UK. We aim to hold seminars at a variety of venues to meet demand from regional audiences and to reduce the travel obligations of those wishing to attend. Details about the locations currently available can be found in Seminars.


What material will I receive on a seminar or bespoke training visit?

The material we supply to delegates at a seminar or bespoke visit will depend on the subject matter. On some occasions we will use training manuals (DLHE, Student and Staff) and reference material or combination of both; this will depend on the level and type of training. 

Following a seminar or bespoke training visit we will send an electronic copy of presentations used to the contact e-mail address used on the booking form.


Can you accommodate delegates with disabilities?

We will do our very best to accommodate delegates with a disability - please inform us of your specific requirements when you book. 

The HESA office is fully accessible to individuals who are disabled or have reduced mobility however, if you are attending an external seminar we are unable to guarantee these facilities as this is dependent on the venue. Can you accommodate delegates with a visual or hearing impairment?

If you have a visual or hearing impairment we can arrange larger print or scripted training material and/or ensure you are seated at the front of the room - please include this information on the booking form so we can make the necessary arrangements for you.


Can I ask questions on the day?

At most events, we encourage delegates to take advantage of their to ask questions or raise concerns on behalf of their institution. We will do our upmost to answer questions on the day. However, there will be instances when questions or concerns will be taken away for consideration and contact will be made after the seminar or bespoke training visit. 

If you are considering or have booked a bespoke training visit it is useful for us to know your specific questions or concerns so that these can be investigated prior to the visit. Please provide us with details of your questions or concerns when completing the booking form.


Can I speak to someone about a seminar or bespoke training visit?

We are happy to speak to you about your training requirements, from advice and suggestions on what may be right for you and your institution, questions about any upcoming seminars and support and guidance following a bespoke training visit or seminar. How do I book a bespoke training visit?

Please visit bespoke training visits for a comprehensive overview of this service. Once you have considered the type of programme you require and chosen a suitable date please complete the booking form, which is also available in bespoke training visits. Once we have received your booking form we will be in contact to discuss your bespoke training visit in more detail.   


Can I cancel a bespoke training visit?

It is possible to cancel a bespoke training visit. However, depending on the length of notice received there may be charges incurred. Please see our cancellation policy for further details.


How much do seminars cost?

All seminars are priced at £135.00 per delegate plus VAT.


Can I cancel my booking on the seminar?

We will fully refund cancellations up to ten days before the seminar - please note that a £10.00 charge will be deducted from your refund to cover our administrative costs. We are unable to refund cancellations made within ten days of a seminar, this is to allow for costs that we will be unable to recover at this time.

We are happy for replacement delegates to attend and would kindly ask you contact us at to confirm the details so we can ensure our registration document is up to date.

If the booking was made in error and you are able to notify us within 24 hours of making the booking we will be happy to make a 100% refund. 


Can I send another person to a seminar in my place?

What payment methods do you accept?

We accept payment by credit card, debit card or purchase order. You will be asked to select your preferred payment method when completing the booking form for either a seminar or bespoke training visit.

Can I make a provisional booking without payment?

We understand there will be occasions when you are unable to arrange immediate authorisation of payment for a seminar or bespoke training visit. As places at seminars are often limited and in generally high demand we can allow provisional bookings for up to two weeks, no later than two weeks before the seminar date. If you would like to make a provisional booking please complete the booking using a purchase order as your preferred payment method and confirm in the notes section that you are making a provisional booking.


Can I purchase a training manual through the website?

Due to popular demand we are currently working on offering both a hard copy and PDF version of the training manuals through the HESA website. We will notify the sector as soon as this facility becomes available.
