Student record 2016/17 - Further guidance about FE field requirements for Apprenticeship Frameworks and Apprenticeship Standards

The tables below indicate which Further Education (FE) fields within the HESA return can be applicable to Apprenticeship Frameworks and Apprenticeship Standards when the provider does or does not require an ILR output file.
There are two tables. One is applicable for Apprenticeship Frameworks and Apprenticeship Standards commencing before 1 May 2017. The other is applicable for Apprenticeship Frameworks and Apprenticeship Standards commencing on or after 1 May 2017 in the 16/17 ILR specification year.
The tables indicate which fields are applicable: some fields may be mandatory and others will only be returned for certain students. Where a field will be the same across all records, the correct value to return has been indicated, otherwise a 'Y' indicates that the field or entity is applicable to the apprenticeship.
Where the ILR output file is required, two Instances must be returned. One programme 'wrapper' instance representing the entire apprenticeship programme and a component instance for each learning aim. The applicable fields below have been separated between the programme and component instances. Further information regarding the requirements for an ILR file to be produced can be found here.
The tables below state the fields required when an ILR output file is required and when it is not, for example when returning apprentices in the Student Record. Where a provider has however used the HESA system to produce ILR files for submission to the SFA, the FE fields will have been completed as advised in the table columns below, including the Engagement Entity. When the provider comes to submit their HESA Student return for degree apprenticeship students, they should still return Institution.ILRGEN=1 and the FE fields as advised in the table. Providers can therefore use a common format to complete both the ILR and HESA submissions for degree apprenticeship students.
