Staff record 2021/22 - Notification log
This document summarises all communications associated with the 2020/21 Staff record. Please refer to the revision history document for full technical list of changes to the specifications.
HESA issue regular communications during the life of a collection:
- Circulars: announcements to interested parties concerning or issues relating to the collection. Circulars are always made available on the HESA website for later reference, and emailed out to the mailgroup for the collection.
- Coding manual release overviews: these document iterative changes to the technical documentation that define the form of the data to be submitted, as well as being a place to host resources associated with collecting that data.
2022-10-26 Coding manual release - Version 1.8
Version 1.8 of the coding manual includes:
- Guidance update for Contracts.RESAST.
- Update of Person.PREVHEI valid entry label for 0440 following name change.
2022-09-14 Coding manual release - Version 1.7
Version 1.7 of the coding manual includes:
- Update of dates falling after 19 September 2022 in the data collection schedule.
- First release of clinical academic salary values - A spreadsheet containing the salary values for clinical academic staff.
- The credibility reporting definitions document has been updated to reflect the changes made to the MOE2 and GOV1 credibility tables in the data collection system.
2022-08-25 Coding manual release - Version 1.6
Version 1.6 of the coding manual includes:
- Reauthoring of guidance in the data collection schedule for brevity.
- Updates to derived field specification.
2022-08-03 Coding manual release - Version 1.5
Version 1.5 of the coding manual includes:
- Publication of the credibility reporting definitions which have been updated to align with the C21025 collection.
2022-06-23 Coding manual release - Version 1.4
Version 1.4 of the coding manual includes:
- Publication of the list and specifications of the derived fields applied by HESA for the 21025 collection.
2022-05-04 Coding manual release - Version 1.3
Version 1.3 of the coding manual includes:
- The guidance for the Data Collection Schedule has been amended to update the process to be followed for missed deadlines for the 21025 collection.
- The HESA XML Data Entry Tool has been released to aid the production of XML data in the format required for submission.
- Guidance on how to use the HESA XML Data Entry Tool.
- The document detailing the single pay spine has been added under the 'further guidance' section of the coding manual.
2022-03-24 Coding manual release - Version 1.2
Version 1.2 of the coding manual includes:
- Additional guidance has been added to the Data Collection Schedule to clarify the process for managing access to the HESA Data Collection System for providers submitting data to the Staff record.
- First release of file structures for downloadable files specification for C21025 under the 'submission process and quality assurance' section of the coding manual.
- First release of quality rules for the C21025 collection.
- First release of the Staff support guide for the C21025 collection.
- A link to download the validation kit has been added under the 'submission process and quality assurance' section of the coding manual.
- Additional valid entry added to Person.PREVHEI for 0441 and label updated following name change for 0440.
2022-02-02 Coding manual release - Version 1.1
Version 1.1 of the coding manual includes:
- Guidance update to Person.STAFFID to provide a link to the list of all HESA INSTIDs (Institution ID) to aid generation of new HESA Staff identifiers and to remove reference to 'Field 2' from guidance (as this field is no longer relevant).
2022-02-02 Coding manual release - Version 1.1
Version 1.1 of the coding manual includes:
- Guidance update to Person.STAFFID to provide a link to the list of all HESA INSTIDs (Institution ID) to aid generation of new HESA Staff identifiers and to remove reference to 'Field 2' from guidance (as this field is no longer relevant).
2021-12-02 Coding manual release - Version 1.0
Version 1.0 of the coding manual includes the first release of documentation for the Staff record 2020/21. This includes the schema, field specifications and guidance.
An explanatory note has been added to the Data Collection Schedule to clarify the possible impact of the COVID-19 pandemic on the published data collection deadline dates.
The field Person.NATIOND is no longer required and has been removed from the collection.
