Training events

What time do training events start and end?

Start and end times depend on the venue and topic. Most of our events start between 9.30 and 10.30am and end between 3 and 4pm. You can find exact times for each event on our events listing page.

The first half hour of the session is registration and refreshments.

What if I’m running late?

We expect everyone to arrive on time. This if for the benefit of other delegates and as a courtesy to our trainers.

We do, however, understand you are reliant on public transport. If you are late, please discreetly join the session and speak to a trainer during your first break so we can register you and catch you up. 

What if I need to leave earlier?

We would like you to stay until the end. If travel arrangements make this impossible, please speak to a trainer on the day to make sure you have all the necessary resources before you leave.

What do I do when I arrive?

If you are attending an event at our offices in Cheltenham, you should register at the front desk. We will give you a visitor’s pass and show you through to the conference area.

If you are attending an event at an external venue, please ask for directions at the main reception or follow the signs. You may - depending on the venue - be given a name badge.

We always have refreshments on arrival available so you can have a cup of coffee or tea while waiting for the session to start.

Is parking available?

We do not have delegate car parking at our offices in Cheltenham. Car parking is available in the area, but at a cost.

If you are attending an event outside of our offices, we will include information about car parking availability in the event's details page. Not all external venues provide car parking facilities, and where they do, it will usually be at cost. 

Is lunch provided?

Yes. We will arrange lunch for all our delegates as well as refreshments throughout the day.

Can you cater for special dietary requirements?

If you have any special dietary requirements, please tell us the details when you make a booking, and we will try to accommodate these. If you provide this information less than 15 days before the event, it is unlikely we will be able to meet your dietary requirements.

What is the dress code?

There is no particular dress code when attending our events. We advise delegates to wear comfortable clothing and we find that casual business dress is most commonly worn by delegates.

What do I need to bring with me?

We will provide all the materials required on the day including refreshments, lunch, stationery, and training materials. You do not need to bring confirmation of your booking as these details will have already been captured on our booking form.

How many delegates are there on the training?

The number of delegates will vary depending on the type and purpose of the event. The event’s capacity will be listed on the event's details page.

Where will the training be held?

We hold our events throughout the country. Some take place at our offices in Cheltenham; others take place at locations across the UK. If you are unable to make any of our scheduled events, you can book a bespoke training session.

Can you deliver training at my organisation?

We can deliver customised training at your organisation. This is particularly valuable where you have a number of people who need to be trained, or if you have particular topics you want to address.

What material will I receive on a day?

The training materials we supply to delegates at each event will depend on the subject. We sometimes use training manuals or other reference materials. 

Following a training event, we will send an electronic copy of presentations to the contact e-mail address used on the booking form.

Can you accommodate delegates with disabilities?

We will do our very best to accommodate delegates with disabilities; please tell us your specific requirements when you book. 

Our offices in Cheltenham are fully accessible to people with disabilities or reduced mobility. However, if you are attending an event outside of our offices, we are unable to guarantee these facilities as it will vary depending on the venue. This information will be included in the event's details page.

If you have a visual or hearing impairment we can arrange larger print or scripted training material and/or make sure you have a seat at the front of the room. Please include this information on the booking form so we can make the necessary arrangements for you.

Can I ask questions on the day?

We encourage you to ask questions or raise concerns. We will try to answer it all on the day, but there will be instances when questions or concerns will be taken away for consideration and we will get back in touch. 

If you have a particular question or concern you want to raise, you can include this on your booking form and we will try to answer it on the day.

How much do training events cost?

Depending on the type of the event the price is £160.00 per delegate plus VAT or £180 per delegate plus VAT. You can find the exact price for each event on our events listing page.

Can I make a booking without payment?

Yes. You can make a booking without payment by choosing Pay Later as a payment method. Please note that all bookings are confirmed at the time of booking and if cancelled later, our cancellation charges will apply.

What does the Pay Later option mean?

If you choose to Pay Later, the system will record and confirm your booking. You will receive a confirmation email with a link inside. Once you have a credit/debit card available, you can follow that link, change payment method to credit card and pay. We require an outstanding balance to be cleared before the event date.

We will send you a reminder email with the link inside, but if on the day of the event a payment method is still set to Pay Later and the booking hasn’t been cancelled prior to that date, we will send you an invoice for a full booking fee.

Can I cancel my booking?

Yes. You can now cancel your booking online. The confirmation email you will receive after making a booking will contain a link to your booking checkout page, where you can cancel it, by clicking ‘Cancel Registration’.

Please be aware that our cancellation charges apply to all bookings.

Do I need to cancel my booking if I chose to Pay Later and then change my mind?

Yes. All bookings are automatically confirmed at the time of booking and the Registration Contact (a person who made a booking) can cancel it online until the event date.

Please note that our cancellation charges will apply to all cancellations. We advise to make a booking only when you are sure that you or someone else from your organisation will attend.

If you choose to Pay Later, but forgot to clear the balance before the event date, we will invoice you a full booking fee on the day of event.

Can I get a refund?

We will fully refund cancellations made up to 15 days before the event date. Please note that a £25.00 charge will be deducted from your refund to cover our administrative costs.

We are unable to refund cancellations made within 15 days of the event; this is to allow for costs that we will be unable to recover at this time.

If the booking was made in error and you notify us within 48 hours of making the booking, we will be happy to issue a full refund. 

Can I send another person to a seminar in my place?

We are happy for replacement delegates to attend in your place. Your Registration Contact (a person who registered you) can amend attendee details online. The confirmation email received by the Registration Contact after making a booking will contain a link to the booking checkout page, where attendee details can be amended.

Can I transfer my booking to another event?

It is possible to transfer a booking to another event. You need to request a transfer by email at least 15 days before your scheduled event. Please note that a £25.00 charge may be deducted from your fee to cover our administrative costs.

What payment methods do you accept?

We only accept payments by credit or debit card. You are however allowed to book an event and pay later. You will be asked to select your preferred payment method: Credit Card or Pay Later, when completing the registration form.

Bespoke training - FAQs

How do I book bespoke training?

To arrange a bespoke training visit, please complete our short form providing a brief description of the content you require and a selection of dates that would suit you. We cannot guarantee any date until the booking is confirmed.

Once we have agreed a suitable day and considered your ideal programme, we will send you a booking form.

How long does a bespoke training event last?

Duration depends on the topic and your requirements. Usually training runs for approximately six hours per day, including a scheduled lunch break. We will recommend the best duration when discussing your specific requirements.

Can I cancel a bespoke training event?

It is possible to cancel a bespoke training event. However, depending on the length of notice received, there may be charges incurred. Please see our terms and conditions for further details.

What is the cost of bespoke training?

Currently a bespoke training event costs £800 (excluding VAT) per day plus trainer’s travel / accommodation costs (where applicable). This is a broad indication of the costs of bespoke training and may differ in exceptional cases. The specific details of costs will be discussed in full before confirming your booking.

What is the difference between bespoke training and HESA's consultancy service?

The material we cover on a bespoke training event will draw heavily on our standard training events. This material will be adapted to match the requirements and processes of your organisation.

Our consultancy service starts with your data processes and business goals. We have no pre-prepared materials; instead we will work closely to understand the environment you work in and help you identify areas for improvement.
